Growing pains
A few weeks ago, I started onboarding a second assistant in my translation company, Oasis Language Services, and had a small but important realization:
I’ve been running my business intuitively.
My processes made sense to me. They worked. But they weren’t transferable. And if I wanted real help (not just moral support) I needed systems someone else could actually follow.
So I stepped back and looked at my workflows from start to finish, through the eyes of someone who had never wandered my meandering file paths before.
Enter: a full brain dump with ChatGPT (mine remains unnamed, and always will).
I explained that I run two businesses—Oasis Language Services and Bilingual Success Academy—listed my tools, flagged my biggest pain points (email overload and invoicing backlogs), and gave this clear instruction:
No fluff. No jargon. Help me save time, reduce friction, and move faster toward my goals. Ask me clarifying questions.
Over a few days, we hashed out workflows, streamlined processes, chose the right tools, and created SOPs my assistant could actually use.
And here’s the big takeaway:
A clear system is the difference between feeling profitable and feeling panicked.
